Save attachments to asset files

Promote reviewed Inbox attachments into the asset's permanent file library.

Overview

Inbox attachments are staged with the public message first. After reviewing them, you can save useful images or PDFs to the related asset's Files tab.

This is how a submitted photo, estimate, invoice, report, or PDF becomes part of the trusted asset record.

Save one attachment

Use Save to asset files on an individual attachment when only that file should be kept.

This is useful when a message includes multiple photos but only one clearly documents the issue.

Save all attachments

Use Save all to asset files when every submitted attachment belongs in the asset record.

Saved files stay connected to the asset and can support future service history, insurance claims, resale documentation, and Copilot answers after review.

What happens after saving

When an attachment is saved:

  1. iMaintain copies the staged attachment into the asset file system.
  2. A new asset file record is created.
  3. Any available AI analysis is carried forward.
  4. The Inbox attachment is marked as saved.

If the promoted file is later deleted from the asset's Files tab, the Inbox attachment can be saved again.

Why it matters

Public submissions often contain the most useful evidence: damage photos, leak photos, incident PDFs, or receipts. Saving attachments turns that outside context into durable asset history.
