Overview
The Inbox is where outside communication about your assets becomes organized, actionable, and connected to the right records.
Messages arrive two ways. You can generate a personal iMaintain email address and forward receipts, invoices, service records, and any asset-related email directly to your Inbox. When someone scans a public QR code attached to one of your assets and submits a maintenance issue, incident report, or feedback, that message also lands here already linked to the asset it came from. Everything lands in one place — no manual sorting, no lost context, nothing stuck in a text thread or email folder.

What you can do
From the Inbox you can review what came in, assess urgency, take action, and move useful information into the right long-term record.
- Triage by urgency and status — messages arrive flagged as Not urgent, Soon, or Urgent based on what the sender selected and how AI assessed the submission.
- Pin, flag, and filter — mark messages for follow-up, pin important ones, and filter by Unread, Pinned, Follow-up, Open, Completed, Archived, and Spam.
- Convert to a maintenance task — turn a maintenance request directly into a trackable task linked to the asset it came from.
- Review and save attachments — inspect photos and documents submitted with a message before deciding whether to save them to the asset's file library.
- Let AI do the first pass — attachments are automatically analyzed by Copilot on arrival, summarizing their contents and informing urgency assessment so you spend less time interpreting and more time deciding.
- Forward emails to your Inbox — generate a personal iMaintain email address and forward receipts, invoices, and service records. Attachments are extracted and queued for review, ready to save to the right asset's file library.
