How AI analyzes attachments

Understand what Analyzed means and how saved files become useful to Copilot.

Overview

Inbox attachments may show an Analyzed state after iMaintain reviews an image or PDF. Analysis helps summarize what the file appears to contain so you can triage faster.

What Analyzed means

Analyzed means iMaintain has processed the attachment and stored useful extracted context, such as a short summary or details that may help explain the submission.

For example, an analyzed attachment might help identify visible damage, a leak photo, a document type, or relevant details from a PDF.

How Copilot uses saved attachments

When you save an Inbox attachment to asset files, the analysis carries forward with the promoted file. Copilot can then use that saved file as part of the asset's knowledge base.

Examples:

  • "What did the guest report about the bumper?"
  • "Which photo showed the leak?"
  • "Do I have any files from the incident report?"

Review before saving

AI analysis is a helper, not a final decision. Review the message and attachment before saving it to asset files or converting the message into maintenance work.

Why it matters

Analysis makes public submissions more searchable and useful over time. A photo or PDF is no longer just an attachment; after review and saving, it becomes part of the asset's long-term record.
