Understand message statuses and filters
Use status filters to manage Inbox messages, and urgency to prioritize within each list.
Overview
Inbox urgency and status filters help you understand what needs attention and what has already been handled. They keep the message list focused so reports from QR codes do not become another messy inbox.
Status filters
Use the filters across the top of the Inbox to focus on the right work:
- Unread - New messages you have not reviewed yet.
- Pinned - Important messages you want to keep visible.
- Follow-up - Messages that need a response or decision.
- Open - Active messages that have not been completed, archived, or deleted.
- Completed - Messages that have been handled.
- Archived - Messages kept for reference but removed from active work.
- Spam - Messages you do not want mixed into normal reports.
You may also see Scheduled when a message is linked to upcoming maintenance work.
When to use each filter
Start with Unread when checking new submissions. Within any filtered list, use urgency to decide what needs attention first: Not urgent, Soon, or Urgent.
Use Open for the active work queue. Use Follow-up when you need to respond, verify details, or decide whether to create a task.
Use Archived for resolved messages you want to keep as history, and Spam for irrelevant submissions.
Why it matters
Statuses turn outside reports into a manageable workflow. Instead of losing tenant, guest, contractor, or family messages in email and texts, you can keep them organized around the asset they came from.
