Convert a message to a maintenance task
Turn a public report into trackable maintenance work.
Overview
When an Inbox message describes work that needs to be tracked, convert it into a maintenance task. This keeps the original report connected to the asset while the repair, service, or follow-up moves into your normal maintenance workflow.
Only maintenance issue messages can be converted. Incident reports and feedback can still be reviewed, archived, flagged, or used as context.
Steps
- Open the Inbox message.
- Review the asset, sender details, urgency, message type, message text, and attachments.
- Select Convert to maintenance task.
- Confirm the task details.
- Open the asset's maintenance area to schedule, assign, or complete the task.
Attachments are not copied to the task. Use Save attachments to asset files to move reviewed Inbox attachments into the asset's permanent file library.
When to convert
Convert messages when the submission describes work that should appear on the asset's maintenance timeline.
Good examples:
- A tenant reports a leak.
- A guest reports vehicle damage.
- A contractor reports a system that needs service.
- A family member reports that an appliance stopped working.
When not to convert
Do not convert messages that are informational only, spam, duplicate reports, or feedback that does not require work. Archive or mark those messages appropriately instead.
Why it matters
Converting a message prevents the work from living only in the Inbox. It becomes part of the asset's maintenance record, where it can be scheduled, completed, reviewed later, and used by Copilot.
