Generate a public message form QR code

Create a public QR code so others can contact you about an asset without an account or app.

Overview

A public message form QR code gives anyone near the asset a direct line to send you a maintenance issue, incident report, or feedback without logging in. The submission appears in your iMaintain Inbox and stays linked to the asset.

Steps

  1. Open the asset.
  2. Go to the Overview tab.
  3. Open QR codes & labels.
  4. Find the Public message form panel.
  5. Select Generate QR code.

The generated public form code shows No login required because submitters do not need an iMaintain account.

When to use it

Use a public message QR code when the person with the information may not have account access but still needs an easy way to reach you.

Examples:

  • Tenants reporting rental issues.
  • Turo guests reporting vehicle incidents.
  • Contractors leaving notes from a visit.
  • Family members reporting appliance problems.
  • Residents reporting shared-space issues.

What happens after someone scans it

The scanner opens a public message form for that asset. After submission, the message appears in the Inbox with the asset context attached.

Why it matters

The public message QR code gives people around your assets a low-friction way to send useful context while the details are fresh. Instead of becoming a text, phone call, or disconnected email, the report lands in your Inbox already tied to the right asset.
